How can I delete images (pdf) that have been uploaded for event registrations? If you can add them, where are they?

Linda, I think the below information is correct.  If you find it's different, reply here.
You can find the files under the Administration Tab in Facility Scheduler.  (Media Files)  The trouble that I have found is if the event is still out there, you are unable to delete the file.  It has to be removed from the event registration first.

Cindy,

Thank you for the information. However, all the images and Forms(pdfs) that are choices in Event Registration on the AccessACS side are not listed in the Media Files in Facility Scheduler. It makes sense that they would be there . . . but they're not. So where are they? If they are not in use or the event has passed (especially a one time event) it would be nice to clean up the choices.  Thanks again Cindy.

I am not sure.  That's where I have found all of my media files that were added through Access.  Good luck.

Hi Linda,

Thanks for your suggestion. You're right that being able to delete old images from the list of images when adding/editing events registrations in Access ACS would be helpful. Our R&D department will review this request and we will post an update once they have completed the review to let you know if this is something we will be able to implement in the future.

Hi Rebekah,

Do you have any information from R&D on this topic?

Has there been any movement on this issue? It would be very helpful to be able to delete old images and pdf's that are stored in the image database for Access ACS and Facility Scheduler.

Rebekah,

Isn't there a change coming soon allowing us to delete registrations with money involved?  Won't that help? Since we would be able to delete the event, the media file could then be deleted - not have to go find the event the media file is attached to and delete there first?  Or could we just get really excited that if we deleted the event the media file would automatically deleted at the same time?

Cindy - yes being able to delete a registration that has payments where the last payment is older than 12 months is coming on the August 2017 release. But we wouldn't automatically delete the media file on that event because a user may want to user that media file on another event. Adding a way to delete the media files is an enhancement.

When using the term 'media files' it includes pdfs. We have forms that change or get updated that are only in pdf format which is part of 'media files'. Therefore, when a form gets updated, the only option is to ADD it into the media files. You cannot REPLACE(delete) the pdf in the media file.  This creates the possibility of using an out of date document.  Again, where are the media files when you ADD them? I used to use Extend and it was easy to add and DELETE media.

Yes you are correct and the media files including the images and pdfs are on our servers. We understand the need to cleanup old/unused images/pdfs and we'll post an update if this feature is planned.

We have 20+ volunteers who add events in Access.  They have to submit their budget, which is uploaded as an image.  That budget is taken into consideration when deciding to approve the event or not.

This triggers a problem in that there is a growing-ever-longer list to scroll through because old files never go away, and they are all named inconsistently because of the different people uploading them which makes it even more difficult.  It would be ideal if we could manage the list of stored files and delete them as needed.

Hi all,

After reviewing this request again by our development team, we will not be adding this feature in ACS Facility Scheduler. Thank you all for your feedback.
