ability to delete "preferred phone" in people directory?

I am trying to print a people directory and take out the line that says "preferred phone". I am forced to have this line show up and have been on with support to try to get it out but they said it can't. With so many people have just cell phones now all we want to list is cell numbers and home (if they have one) but the preferred line makes all this repetitive by picking the one of these that is preferred. I just want a check box that takes that line out. We even tried saving as a word file and I can for sure take it out there but it creates a text box for every line and doesn't give me the option to delete the blank line then. I shouldn't have to export to word then go thru every contact when I can just check or uncheck a box I would think. Maybe I'm missing something.

Dean - as long as the cell phone or home phone is marked as the preferred phone, that that is the phone number that will print as the preferred phone. There is a request to print the spouse's preferred phone when different from the Head's preferred phone on the directory in Get Satisfaction so if this request would help please vote for that request here by choosing Me Too.

The only way you can remove that wording would be to use the Print to File option to a Word text file then use find/replace in Word.

thanks for your response. When I print to word each line exports as a text box which I can delete but then it leaves a blank line for each listing that I am not able to delete and that looks rather silly. So the only option it seems I have is to make sure every listing does not have a preferred number - is that right? If I do that for each person does that in turn effect other things that might use or need the preferred number?

Dean - can you help us understand why you would not want each individual to have a preferred phone selected? We understand that many people don't have land lines so their cell phone is their preferred number or when they do have a land line they still want their cell phone to be their preferred number which can you flag as such in ACS People.

it makes our church directory a mess, because it lists the preferred # for each individual, and then also each person's cell # and home # if applicable, so as you can see, some numbers end up being listed twice

In a 52 page directory, I have the same phone number appearing 2 times on various people (usually 3-6 per page are like this), because they both have cell phones and it is pulling the head person's cell phone as a preferred number for the family.  I would love for everyone in my church to use access and not see this, but the older audience still needs a hard copy.

Thank you.

the other thing I just found out is that when one number is listed the database won't allow me to not have a preferred number - it forces that one number to be preferred. So what then happens is that when one person is listed in the directory they then have a preferred number and a cell number. With so many people not having a home phone now with cell phones we want people to know it is a cell phone (for texting purposes) instead of just listing the number as preferred but we also don't want the repetitive numbers. Any solutions? since I can't make many numbers not preferred apparently?

These last comments explains the need. Sounds like you want people who view the directory to know if a phone is a cell phone that allows texting. We understand that texting is the norm nowadays for many people while there are still some people who don't use texting as their preferred contact method.

Have you looked into launching the Church life mobile app to your members? This would allow them to look up member of the church (if you have the member search feature turned on in Access ACS) and then if the phone allows texting they would be able to text the individual right from their smartphone. I see that you are using Access ACS online giving which means members have logins for Access ACS and they would use these same logins for the Church life mobile app.

we have not rolled the church life app out to everyone - just to the staff and leaders. The primary reason is we don't want everyones contact info. available. We only want those who have indicated to us that they want to be listed in a directory. Is there an easy way for us to make only those who chose to be in the directory available in church life app? We already have a check box for those individuals indicating that so a search is easy - that's how we do it for the print directory. Honestly, I just haven't researched how to do this and while I want to do this it still doesn't help us with the print one. It's not a huge deal - just seems like if I have the option of choosing which numbers to list then the preferred number being listed seems very redundant at that point and like you said doesn't indicate if it's a land line or cell.

In Access ACS, you can set the global preference option to not show anyone in the directory and then each member can opt-in to show in the directory. These same settings would carry over to the Church Life app so that members can only search for individuals who have opted-in to the Access ACS directory.

We understand the need and having an option to turn off the preferred phone may solve that need but at this time, this is not on the Under Consideration or Planned list of items to do in the next six months or so.

We appreciate the great conversation and information.

If I choose this option does it still allow our staff who have the permissions to see everyone to still see them? Is there a way to just have it list those based on a search in the church life app instead?

This reply was created from a merged topic originally titled ACS People, printing a directory. We would like for the "Preferred Number" to be ....

When printing a directory, we would like for the "Preferred Phone Number" to be changed so that if a couple each have mobile numbers but do not have a landline, one of their mobile numbers does not show up as "preferred". With almost half of our congregation disconnecting their landlines this has become an issue.

The current design causes phone numbers to appear twice in the People Directory, when opting to include select Phone Types and one of these types has been identified as the Head record's Preferred Phone number. If the program could at least recognize situations where it would be including a number more than once, and then refrain from including that number a second time, this would be helpful.
